Position Summary
The Retail Property Manager is responsible for the overall management, operation, and financial performance of a portfolio of retail properties. This role oversees tenant relations, lease administration, property maintenance, vendor management, budgeting, and compliance to ensure properties operate efficiently, remain well-maintained, and achieve ownership objectives.
Key Responsibilities
Property Operations
- Oversee the day-to-day operations of assigned retail shopping centers, strip malls, and mixed-use retail properties.
- Conduct regular property inspections to ensure cleanliness, safety, and maintenance standards are met.
- Coordinate repairs, preventative maintenance programs, and capital improvement projects.
- Ensure compliance with local, state, and federal regulations.
Tenant Relations
- Serve as the primary point of contact for tenants and address concerns promptly and professionally.
- Foster positive tenant relationships to support tenant retention and satisfaction.
- Coordinate tenant move-ins, move-outs, and store openings.
- Monitor tenant compliance with lease requirements and property rules.
Financial Management
- Prepare and manage annual operating budgets and forecasts.
- Review and approve invoices, monitor expenses, and control operating costs.
- Track rent collections and coordinate with accounting on delinquencies.
- Analyze financial reports and implement strategies to improve property performance.
- Assist with annual reconciliations and common area maintenance (CAM) charges.
Lease Administration
- Interpret and administer lease agreements.
- Monitor critical lease dates, renewals, options, and expirations.
- Coordinate with leasing teams regarding vacant spaces and tenant improvements.
- Ensure tenant insurance certificates and required documentation remain current.
Vendor and Contractor Management
- Solicit bids, negotiate contracts, and oversee third-party service providers.
- Monitor vendor performance and ensure contract compliance.
- Manage landscaping, security, janitorial, maintenance, and other service contracts.
Risk Management and Compliance
- Ensure properties meet health, safety, and environmental requirements.
- Respond to emergencies and coordinate corrective actions as needed.
- Maintain accurate property records and documentation.
Qualifications
Education
- Bachelor’s degree in Business Administration, Real Estate, Property Management, Finance, or a related field preferred.
Experience
- 3–7+ years of commercial or retail property management experience.
- Experience managing shopping centers, retail portfolios, or mixed-use developments preferred.
- Knowledge of lease administration, CAM reconciliations, and property budgeting.
Skills
- Strong financial and analytical skills.
- Excellent communication and tenant relationship management abilities.
- Contract negotiation and vendor management experience.
- Proficiency with property management software and Microsoft Office Suite.
- Strong organizational and problem-solving skills.
- Ability to manage multiple properties and priorities simultaneously.
Preferred Certifications
- Certified Property Manager (CPM)
- Real Property Administrator (RPA)
- Certified Shopping Center Manager (CSM) or equivalent industry credentials
Physical Requirements
- Ability to travel regularly between properties.
- Ability to walk properties and inspect facilities, including outdoor areas.
- Occasional lifting of up to 25 pounds.
