A well-established manufacturing company is seeking an experienced Accounts Payable & Payroll Specialist to support day-to-day accounting operations across multiple affiliated businesses. The ideal candidate will have experience in both accounts payable and payroll administration, preferably within a manufacturing environment.
Key Responsibilities
Accounts Payable
- Process vendor invoices for multiple affiliated companies and locations.
- Match invoices with purchase orders and receiving documentation.
- Investigate and resolve invoice discrepancies with Purchasing and Receiving teams.
- Code invoices accurately to appropriate general ledger accounts.
- Process domestic and international vendor invoices.
- Manage freight, logistics, and shipping-related invoices.
- Process DMR transactions.
- Maintain vendor records and establish new vendor accounts.
- Prepare and process weekly check runs.
- Process ACH, wire transfers, and other electronic payments.
- Serve as a secondary bank approver.
- Maintain organized AP files and year-end documentation.
Payroll Administration
- Process weekly payroll for multiple companies.
- Review employee hours, earnings, deductions, and payroll adjustments for accuracy.
- Maintain employee payroll records and confidential information.
- Process new hires, terminations, wage changes, and benefit deductions.
- Balance payroll prior to submission.
- Respond to employee payroll questions professionally and promptly.
- Ensure compliance with federal, state, and company payroll policies.
Banking & Accounting Support
- Process electronic banking transactions.
- Assist with positive pay and cash management activities.
- Cross-train with Accounts Receivable and Accounting team members.
- Assist with month-end close activities.
- Support multiple affiliated companies through a shared-services accounting model.
- Participate in special projects and continuous process improvements.
- Provide additional accounting support as business needs require.
Qualifications
Required
- Experience in Accounts Payable and Payroll.
- Strong attention to detail with a high level of accuracy.
- Excellent organizational and time-management skills.
- Ability to manage multiple priorities in a deadline-driven environment.
- Strong communication and interpersonal skills.
- Proficiency in Microsoft Office, particularly Excel.
- Ability to maintain confidentiality and handle sensitive information professionally.
Preferred
- Associate’s or Bachelor’s degree in Accounting, Finance, Business, or a related field.
- Manufacturing industry experience.
- Experience supporting multiple companies or entities.
- Experience with payroll systems and ERP software.
- Experience with Paycom and/or Epicor ERP is highly desirable.
