Schedule: Monday-Friday, 8:00 AM-4:30 PM or 8:30 AM-5:00 PM
About the Role
We are seeking a detail-oriented HR Administrative Assistant to support our Human Resources team with employee records, onboarding administration, and general office support. This is a great opportunity for someone with administrative or office assistant experience who is looking to grow into Human Resources – previous HR experience is not required.
The ideal candidate is organized, accurate, customer-service focused, and comfortable working with confidential employee information in a fast-paced office environment.
Responsibilities
- Update and maintain employee records using HR systems (Ultipro and PeopleMatter)
- Process personnel changes including rehires, transfers, promotions, demotions, and pay rate updates
- Organize, prepare, and scan employee documents into electronic personnel files
- Review employee documentation, including I-9 forms, for accuracy and compliance
- Research employee record discrepancies using electronic filing systems
- Assist with light onboarding and new hire administrative tasks
- Support HR with department projects and administrative assignments
- Order office and department supplies as needed
- Assist with mail distribution, phone triage, and general office support
- Communicate with managers and supervisors regarding employee records and HR documentation
Qualifications
- High school diploma required; Associate’s degree or some college preferred
- At least 1 year of office, administrative, customer service, or office assistant experience
- Strong data entry and organizational skills
- Comfortable working with confidential information
- Basic Microsoft Word and Excel skills
- Excellent communication and customer service skills
- Strong attention to detail and ability to prioritize multiple tasks
