About the Role

We are seeking a detail-oriented HR Administrative Assistant to support our Human Resources team with employee records, onboarding administration, and general office support. This is a great opportunity for someone with administrative or office assistant experience who is looking to grow into Human Resources – previous HR experience is not required.

The ideal candidate is organized, accurate, customer-service focused, and comfortable working with confidential employee information in a fast-paced office environment.

Responsibilities

  • Update and maintain employee records using HR systems (Ultipro and PeopleMatter)
  • Process personnel changes including rehires, transfers, promotions, demotions, and pay rate updates
  • Organize, prepare, and scan employee documents into electronic personnel files
  • Review employee documentation, including I-9 forms, for accuracy and compliance
  • Research employee record discrepancies using electronic filing systems
  • Assist with light onboarding and new hire administrative tasks
  • Support HR with department projects and administrative assignments
  • Order office and department supplies as needed
  • Assist with mail distribution, phone triage, and general office support
  • Communicate with managers and supervisors regarding employee records and HR documentation

Qualifications

  • High school diploma required; Associate’s degree or some college preferred
  • At least 1 year of office, administrative, customer service, or office assistant experience
  • Strong data entry and organizational skills
  • Comfortable working with confidential information
  • Basic Microsoft Word and Excel skills
  • Excellent communication and customer service skills
  • Strong attention to detail and ability to prioritize multiple tasks
