Position Overview
We are seeking seeking a proactive and highly organized Administrative Lead / Executive Assistant to provide high-level support to senior leadership and assist with day-to-day administrative operations. This role requires someone who can manage complex calendars, coordinate meetings and travel, handle confidential information, and work independently in a fast-paced environment.
Key Responsibilities
- Manage complex executive calendars and scheduling across multiple stakeholders and time zones
- Coordinate internal and external meetings, including agendas, invitations, and meeting materials
- Arrange domestic and international travel, itineraries, and expense reporting
- Serve as a primary point of contact for administrative inquiries and communications
- Support visitor coordination, events, and meeting logistics
- Maintain organized files, records, and administrative documentation
- Assist with onboarding coordination, purchasing, and other operational activities
- Provide support to additional leadership and team members as needed
Qualifications
- 3+ years of Executive Assistant, Administrative Coordinator, or senior administrative support experience
- Experience supporting Directors, Executives, or senior leadership
- Strong calendar management, travel coordination, and meeting planning experience
- Excellent organizational, communication, and multitasking skills
- Ability to work independently, prioritize competing demands, and exercise sound judgment
- Proficiency with Microsoft Office Suite, Outlook, and scheduling tools
