Maintenance/Service Coordinator
Responsibilities
- Oversight, coordination, management of service requests and work orders.
- Daily review of incoming service requests and work orders.
- Process incoming service requests and work orders received via telephone and/or email.
- Check with Board of Directors or Committee Chairs, when necessary.
- Assignment to appropriate vendor.
- Follow up to ensure completion, communicate with Unit Owners as needed via software, email or phone.
- Creation of RFPs as necessary for association projects requiring bidding process.
- Approval by the Board of Directors before submission to vendors/contractors.
- Submission to vendors/contractors
- Deadline tracking.
- Compilation of all bid responses.
- Final submission to Board of Directors for voting.
- Assist Property Managers with coordination of project execution.
- Communication with vendors/contractors regarding start date and timeline.
- Notifications to homeowners/community regarding project, as necessary.
- Assist with troubleshooting and follow up with project concerns.
- Daily monitoring of emails for employee (1) and service department (1).
- Assist Property Manager in compilation of reports for Board of Directors and/or Board Meetings.
- Handling phone calls as needed with unit owners, vendors and board members.
- Ability to multi-task.
- Proficiency with Microsoft Word, Excel, & Outlook.
- Strong verbal and written communication skills. Effective communication relies on accurate grammar and spelling.
- Attention to detail.
Requirements
- 2+ years of solid office experience and handling a high volume of phone and email
