Title: Development Associate – Special Events & Donor Relations
Location: Boston, MA 02118 – FULLY ONSITE
Schedule: M-F, 8a-4:30p
Pay: $23-25/hr, depending on experience

Summary:
Assist with event logistics, stewardship activities, donor communications, and coordination with members of the Advancement team on donor-facing activities. The role will work closely with the Directors of Special Events and Donor Relations and may also provide administrative and logistical support to the Vice President of Philanthropic Partnerships and other members of the fundraising team as needed. The primary focus of this temporary role is to maintain day-to-day support and continuity for ongoing special events, donor relations, and fundraising activities until the permanent Development Associate is hired.

Responsibilities:

  • Manage event sponsorship outreach, deliverables, and impact reporting, including organizing recipient lists and gathering relevant statistics and photos.
  • Manage event guest list outreach, registration, RSVPs, attendance tracking, and post-event follow-up.
  • Coordinate Day of Giving volunteer follow-up and confirmation.
  • Support donor relations activities as a Development Associate, including mass stewardship communications and donor recognition.
  • Create ThankView emails, edit videos, and track engagement metrics.
  • Provide CEO and CAO letter support.
  • Organize recipient lists and submit bulk uploads for mass stewardship communications and donor recognition.
  • Maintain the Fundraiser Toolkit and related resources.
  • Pull event campaign reports and share them with Relationship Managers (RMs) to support in-room engagement strategies.
  • Share event attendee lists with RMs to encourage timely post-event follow-up.
  • Manage event sponsorship outreach and deliverables and guest list registration for Women Fighting Hunger (WFH).
  • Support event planning and logistics, including invitation lists, name badges, Salesforce updates, timelines, task lists, staffing plans, and event materials.
  • Assist with event planning meetings, briefings, and day-of event activities.
  • Coordinate event materials, including signage, gifts, awards, and other supplies.
  • Provide administrative support with vendors and external partners, including contracts, quotes, invoices, and permitting.
  • Maintain vendor and event-related records and files.
  • Assist with post-event surveys, attendance reporting, and follow-up activities.
  • Support volunteer coordination and engagement for signature Special Events.
  • Provide general administrative and logistical support to the Special Events and Donor Relations teams as needed.

 

Skills & Qualifications
  • Excellent written, verbal, interpersonal, and presentation skills.
  • Excellent attention to detail and strong organizational skills.
  • Proficiency in Microsoft Office Suite, especially Excel and PowerPoint.
  • Proficiency in customer relationship management (CRM) databases, Salesforce preferred.
  • Proven ability to handle multiple and varied tasks and priorities, as well as to plan, develop, collect, and acquire relevant information across teams.
  • Ability to work independently, as well as collaboratively, to achieve common objectives.
  • Prior experience with Classy or GoFundMe Pro
  • Demonstrates the required digital competencies that result in the effective use of the full range of digital technologies required.
  • Ability to write persuasively and clearly.
  • Ability to engage with diverse stakeholders, including high-level donors and volunteers.
  • Two to three years of fundraising and/or events experience, preferably in a nonprofit setting.
