Pay: $25–$27/hour

Position Overview

We are seeking an outgoing, organized, and community-minded Office Coordinator to support the day-to-day operations of a mission-driven organization in Mattapan, MA. This position combines traditional administrative support with event coordination, community outreach, vendor management, and property-related responsibilities.

The ideal candidate is personable, professional, and comfortable interacting with community members, vendors, donors, and internal staff. This could be a great opportunity for a polished early-career professional looking to grow within a community-focused organization.

Key Responsibilities

  • Manage calendars, scheduling, and general administrative activities.
  • Coordinate and support meetings, including preparing materials, presentations, and correspondence.
  • Answer and direct incoming calls, manage email inquiries, and welcome visitors.
  • Maintain filing systems, office supplies, records, and general office organization.
  • Assist with planning and coordinating events, programs, conferences, property tours, and community activities.
  • Manage the event rental process, including initial needs assessments, pricing, contracts, and onsite support.
  • Maintain the organizational calendar of events and assist with newsletters and outreach materials.
  • Support community outreach efforts, public relations materials, and engagement initiatives.
  • Serve as a point of contact for vendors and contractors and coordinate onsite appointments.
  • Assist with vendor contracts and property management initiatives, including helping resolve facility-related issues.
  • Process and track donations, maintain accurate records, and assist with donor correspondence and outreach.
  • Attend weekly staff meetings, staff retreats, and occasional board meetings.
  • Represent the organization at community events and public presentations as needed.
  • Perform additional administrative and operational duties as assigned.

Qualifications

  • 2–3+ years of administrative support experience.
  • Associate’s or Bachelor’s degree preferred.
  • Intermediate to advanced proficiency with Microsoft Word, Excel, and PowerPoint.
  • Strong written and verbal communication skills.
  • Highly organized with strong attention to detail and the ability to manage multiple priorities.
  • Outgoing, professional, and comfortable engaging with a wide variety of people.
  • Interest in community engagement and supporting a mission-driven organization.
  • Bilingual skills are a strong plus.
