Payroll Assistant / Payroll Specialist

Job Summary

We are seeking a detail-oriented and dependable Payroll Assistant / Payroll Specialist to support the timely and accurate processing of employee payroll. This position serves as a key resource for employees and managers regarding payroll and timekeeping questions and ensures payroll transactions are processed in accordance with applicable policies, procedures, and federal and state regulations.

The ideal candidate is highly organized, comfortable working with confidential information, and able to provide professional and responsive customer service to employees at all levels.

Essential Responsibilities

Payroll Processing & Administration

  • Process payroll accurately and within established deadlines.
  • Enter and review employee time and attendance information.
  • Process payroll adjustments, garnishments, pay cards, and other payroll-related transactions.
  • Maintain accurate employee payroll information within the HRIS/payroll system.
  • Research and resolve payroll discrepancies, exceptions, and employee inquiries in a timely manner.
  • Prepare payroll-related reports for employees, managers, vendors, and tax agencies as needed.
  • Develop and provide ad hoc payroll reports as requested.
  • Assist with ensuring payroll practices comply with applicable federal and state regulations.
  • Maintain accurate records and documentation related to payroll processing.

Employee & Manager Support

  • Respond to employee and manager questions regarding payroll, timekeeping, deductions, and related matters.
  • Provide clear procedural guidance regarding payroll and timekeeping processes.
  • Conduct payroll and timekeeping training for managers as needed.
  • Communicate effectively and professionally with internal customers across all areas of the organization.
  • Provide excellent customer service while maintaining professionalism and discretion.

Compliance & Confidentiality

  • Maintain strict confidentiality of employee payroll, compensation, tax, and other sensitive information.
  • Apply appropriate tax treatment to employer-paid benefits and other taxable compensation.
  • Follow organizational policies, procedures, and established payroll practices.
  • Stay informed of applicable payroll regulations and requirements.

Minimum Qualifications

  • High school diploma or GED required.
  • Demonstrated knowledge of general office practices and procedures.
  • Intermediate proficiency with Microsoft Excel and Microsoft Word.
  • Strong attention to detail and accuracy.
  • Ability to handle confidential and sensitive information with discretion.
  • Strong verbal and written communication skills.
  • Basic math and problem-solving skills.
  • Ability to work effectively both independently and as part of a team.
  • Successful completion of a criminal background check in accordance with organizational requirements.

Preferred Qualifications

  • Previous payroll processing experience.
  • Experience with UKG, Ultimate Software, or a similar payroll/HRIS system.
  • Experience with computerized timekeeping systems.
  • Knowledge of payroll processing, taxation, deductions, garnishments, and payroll reporting.
  • Previous experience providing payroll-related customer service or training.
