Office Commercial Property Manager

Job Title: Office Commercial Property Manager
Department: Property Management
Reports To: Regional Property Manager / Director of Property Management

Position Summary

The Office Commercial Property Manager is responsible for the overall management, operations, and financial performance of a portfolio of commercial office properties. This role ensures properties are maintained to a high standard, tenants receive exceptional service, budgets are achieved, and vendor relationships are effectively managed while maximizing asset value and occupancy.

Key Responsibilities

  • Manage the day-to-day operations of assigned commercial office properties.
  • Serve as the primary point of contact for tenants and respond promptly to inquiries and service requests.
  • Build and maintain positive tenant relationships to promote satisfaction and retention.
  • Prepare and manage annual operating budgets and monitor expenses.
  • Review financial reports, approve invoices, and ensure accurate coding of expenses.
  • Coordinate maintenance, repairs, and capital improvement projects.
  • Oversee janitorial, landscaping, security, HVAC, and other contracted services.
  • Conduct regular property inspections to ensure buildings are clean, safe, and well maintained.
  • Ensure compliance with lease agreements, company policies, and local, state, and federal regulations.
  • Coordinate tenant move-ins, move-outs, and office renovations.
  • Work closely with leasing teams to support tenant retention and occupancy goals.
  • Obtain competitive bids, negotiate contracts, and manage vendor performance.
  • Monitor preventative maintenance programs and building systems.
  • Respond to emergencies and coordinate after-hours support as needed.
  • Prepare management reports, operating summaries, and ownership reports.
  • Assist with annual reconciliations, CAM recoveries, and budget planning.
  • Ensure compliance with OSHA and other applicable safety regulations.

Qualifications

  • Bachelor’s degree in Business Administration, Real Estate, Property Management, or a related field preferred.
  • 3–5+ years of commercial property management experience, preferably with office properties.
  • Knowledge of commercial leases, property operations, budgeting, and financial reporting.
  • Experience managing vendors and service contracts.
  • Strong understanding of building systems including HVAC, electrical, plumbing, and life safety systems.
  • Proficiency in Microsoft Office Suite and property management software (such as Yardi, MRI, Building Engines, or Angus).
  • Professional certifications such as CPM or RPA are a plus.

  • Regular interaction with tenants, contractors, vendors, and ownership representatives.
  • Occasional evening or weekend work for emergencies or special projects.
