Job Title: Retail Regional Property Manager
Department: Property Management / Real Estate Operations
Reports To: Director of Property Management or Regional Director
Location: Regional (multiple retail locations within assigned territory)
Position Summary
The Retail Regional Property Manager oversees the operational, financial, and physical performance of a portfolio of retail properties across a designated region. This role is responsible for maintaining property standards, managing vendor relationships, ensuring lease compliance, controlling operating expenses, and supporting tenant satisfaction. The Regional Property Manager serves as the primary liaison between property ownership, tenants, contractors, and internal stakeholders to maximize asset value and operational efficiency.
Key Responsibilities
Property Operations
- Manage day-to-day operations of multiple retail properties within the assigned region.
- Conduct regular property inspections to ensure cleanliness, safety, maintenance, and brand standards are maintained.
- Develop and implement preventive maintenance programs.
- Coordinate repairs, renovations, and capital improvement projects.
- Ensure compliance with local, state, and federal regulations, including health, safety, and environmental requirements.
Tenant Relations
- Build and maintain strong relationships with retail tenants.
- Respond promptly to tenant concerns, service requests, and operational issues.
- Coordinate tenant move-ins, expansions, relocations, and move-outs.
- Monitor lease compliance and enforce lease provisions as necessary.
Financial Management
- Prepare and manage annual operating budgets for assigned properties.
- Monitor property income and expenses to achieve financial objectives.
- Review and approve invoices, purchase orders, and vendor contracts.
- Analyze financial reports and recommend cost-saving initiatives.
- Assist with annual reconciliations, CAM (Common Area Maintenance) charges, and budget forecasting.
Vendor and Contract Management
- Source, negotiate, and manage service contracts for maintenance, landscaping, security, janitorial, and other property services.
- Monitor vendor performance and ensure service-level expectations are met.
- Conduct competitive bidding processes and recommend contract awards.
Capital Projects
- Coordinate capital improvement projects from planning through completion.
- Manage project budgets, timelines, and contractor performance.
- Ensure projects are completed safely, on schedule, and within budget.
Compliance and Risk Management
- Ensure all properties comply with applicable regulations and company policies.
- Conduct risk assessments and implement corrective actions.
- Coordinate insurance claims and incident reporting when necessary.
- Maintain accurate property records, permits, and inspection documentation.
Reporting and Communication
- Prepare regular property performance reports for senior management.
- Communicate operational updates, financial results, and project status to stakeholders.
- Collaborate with leasing, construction, accounting, and asset management teams.
Qualifications
Education
- Bachelor’s degree in Business Administration, Real Estate, Property Management, Facilities Management, or related field preferred.
- Professional certifications such as CPM (Certified Property Manager), RPA (Real Property Administrator), or similar credentials are a plus.
Experience
- 5+ years of commercial or retail property management experience.
- Experience managing multi-site retail portfolios preferred.
- Strong understanding of retail lease administration and CAM reconciliations.
- Experience managing budgets, vendors, and capital projects.
Skills and Competencies

- Knowledge of property management software and Microsoft Office Suite.

Physical Requirements
- Frequent travel within assigned region (25–75% depending on portfolio size).
- Ability to conduct site inspections, including walking properties and accessing building systems.
- Occasional evening or weekend work as needed for emergencies or special projects.
