Position Summary

We are seeking a detail-oriented Payroll & Accounts Payable Coordinator with a strong background in the construction industry. The ideal candidate will possess extensive experience managing high-volume payroll operations, including union payroll processing, garnishments, and payroll withholdings, while also maintaining ownership of the full accounts payable cycle. This role will support accounting operations through general ledger postings, account reconciliations, and month-end close activities.

Key Responsibilities

Payroll Administration

  • Process high-volume weekly and bi-weekly payroll accurately and efficiently.
  • Manage complex union payroll requirements, including union deductions, fringe benefits, and reporting.
  • Administer employee garnishments, tax withholdings, and other payroll-related deductions.
  • Ensure compliance with federal, state, local, and union payroll regulations.
  • Investigate and resolve payroll discrepancies in a timely manner.
  • Maintain payroll records and prepare payroll-related reports as needed.

Accounts Payable

  • Oversee the full-cycle accounts payable process from invoice receipt through payment.
  • Review, verify, and process vendor invoices for accuracy and proper approval.
  • Perform end-to-end three-way matching of purchase orders, receipts, and invoices.
  • Monitor vendor accounts and maintain accurate aging reports.
  • Research and resolve invoice discrepancies and vendor inquiries.
  • Coordinate payment processing while ensuring compliance with company policies and procedures.

Accounting & Financial Support

  • Prepare and post journal entries to the general ledger.
  • Assist with month-end close activities and account reconciliations.
  • Reconcile payroll-related and accounts payable accounts.
  • Support financial reporting and audit requests.
  • Collaborate with accounting and operations teams to ensure accurate financial records and process improvements.

Qualifications

  • 3+ years of payroll and accounts payable experience, preferably within the construction industry.
  • Demonstrated experience processing high-volume payroll in a fast-paced environment.
  • Strong knowledge of union payroll, prevailing wage requirements, garnishments, and payroll tax withholdings.
  • Extensive accounts payable experience, including invoice processing, three-way matching, and vendor management.
  • Experience preparing aging reports and monitoring outstanding liabilities.
  • Solid understanding of general ledger accounting, journal entries, reconciliations, and month-end close procedures.
  • Proficiency with accounting and payroll software systems.
  • Strong organizational skills, attention to detail, and ability to manage multiple priorities simultaneously.
  • Excellent communication and problem-solving abilities.

Preferred Qualifications

  • Experience with construction accounting software and ERP systems.
  • Knowledge of job costing and construction-related accounting practices.
  • Associate’s or Bachelor’s degree in Accounting, Finance, or a related field preferred.
