RESPONSIBILITIES
Responsible for the timely and accurate reporting of all fiscal activity. Oversees the general ledger system and chart of accounts as necessary and appropriate to maintain currency with financial reporting needs as well as FASB requirements.
Oversees the flow of information from subledger software into the general ledger. Ensures controls are in place so that information is brought in accurately and in a timely manner.
Oversees the accounting for $600M investment portfolio, endowment and grant funds. Ensures that net assets are properly managed and reconciled.
Creates interim financial statements for debt covenants and other internal reporting purposes.
Collaborates with all of departmental staff to ascertain that annual operating revenues and expenses are promptly and accurately recorded, deposited, and reported with conditions and terms noted. Works with Development staff to ensure restricted gifts pledges are properly recorded to reflect donor intent.
Works with Finance Officer and Development Department staff on external gift and grant reports..
As head of the accounting team, supervises four positions and evaluates, assigns and delegates roles and responsibilities within the team. Communicates overall museum priorities, managing staff as necessary and appropriate. Meets regularly with direct reports and the Chief Financial Officer; participates in department head meetings.
Reviews and updates accounting policies, systems and procedures, with input from department heads or management and with the approval of the Chief Financial Officer as appropriate.
Oversees cash management system, reports cash flow, updates cash flow statements.
Oversees annual audit preparation and execution, as well as the annual form 990 tax filing. Prepares and presents relevant material to the museum’s Finance Committee and Audit and Risk committee as necessary.
Approves bank checks, wire transfers, sale of gifts securities in accordance with stated museum policy.
Budget Development, Analysis, and Reporting Co-leads the development of the operating budget with CFO. Develops the annual budget guidelines and calendar, coordinates training, budget meetings with departments, and compiles budget requests. Reviews budget submissions including supplemental requests for quality and adherence to guidelines and formulates recommendations on priorities of program requests. Prepares analyses and management reports and works with CFO to prepare consolidated budget and narrative submission to Leadership, Finance Committee and Board of Trustees.
Forecast process: Co-manages the mid-year forecast process, with similar responsibilities as for budget and incorporating past financial results into fiscal year-end projections.
QUALIFICATIONS
B.S. in Accounting, CPA, and graduate degree preferred.
Minimum ten years of experience in a similar professional capacity.
Excellent conceptual problem-solver and communicator, able to manage multiple priorities.
General ledger accounting software, Excel and word processing skills a must.
