Job Type: Temp, 1-3 months
Title: Administrative Assistant
Schedule: M-F 8:30am – 4:30pm – fully onsite
Location: Boston, Massachusetts 02118
Pay Rate: $23-25/hr, depending on experience

Position Summary
This role involves a diverse range of critical, time-sensitive administrative functions and computer-oriented technical functions on a fast-paced basis. The Administrative Assistant should be motivated, professional, courteous, and consistent, with close attention to detail and timelines. The AA should possess strong written, verbal communication, and computer software skills.

Role & Responsibilities

  • Manage calendar and possible travel scheduling, including but not limited to prioritizing, scheduling, planning, organizing internal and external meetings, and resolving schedule conflicts on a timely basis.
  • Produce timely, accurate, and consistent letters, minutes, memos, and agendas.
  • Create high-quality presentations for meetings and arrange meeting material prep, room set-up, and restoration as needed.
  • Provide administrative backup as necessary for the EAs and front desk coverage (lunch and PTO) and take directions from other Executive Leaders as appropriate.
  • All other duties as assigned.

Skills & Qualifications

  • Three to five years of experience as a high-level Administrative Associate with excellent customer service skills.
  • High School diploma required, bachelor’s degree preferred.
  • Highly organized with demonstrated ability to multitask, prioritize, and be proactive.
  • Excellent proficiency with large document creation and management, spreadsheets, and presentations in MS Office, and Salesforce (styles, formulas, macros, pivot tables).
  • Excellent skills with Adobe Suite presentation and graphic management.
  • Ability to manage confidential information and sign a non-disclosure agreement.
  • Ability to work both independently and in a team environment as a flexible team player.
  • Demonstrates the required digital competencies that result in the effective usage of the full range of digital technologies.
  • Excellent written, oral, and interpersonal skills.
  • Digital competency, including demonstrating proficiency in Microsoft (MS) 365 tools, including MS Office, SharePoint, and Teams.
  • Experience and facility with Zoom Meeting, Zoom Phone administration (or similar platforms), and other workplace tools.
  • Excellent organizational skills, strong prioritization skills, and irrefutable attention to detail.
  • Excellent customer service skills and a positive and instructive phone manner.
  • Detail-oriented with sensitive tasks consistently.
  • Ability to multitask, work under pressure, and meet deadlines required.
  • Proven ability in business writing and critical thinking skills.
