Job Description
Overview:
The Education Program Assistant for the Department of Surgery reports directly to the GME Program Administrator. Usingindependent judgment and initiative, provides direct support for the residency program administrator including alumni andcontinuing medical education. Applies organizational skills to perform a variety of secretarial duties. Prioritizes heavy workvolume in a fast paced environment, handling difficult or critical situations.
Responsibilities:
Assists with resident personnel actions including newappointments, reappointments, and courtesy appointments incompliance with University policy. Assists with all aspects ofResident Terminations and Clearance and appropriatesummative final letters of performance. Responsible for data reports (statistical and financial) asrequired (AAMC, COTH, ACGME, Certifying Specialty Boardand other regulatory agency reports. Serves as liaison between Program and its Residents andOffice of Educational Affairs, providing support andinformation as needed. Responsible for the maintenance ofalumni data, including personnel files and verification ofcredentials Disseminate M&M Case Conference and Grand Roundsinformation. Comply with CME regulations regarding M&MCase Conference. Assists with the implementation andelectronic maintenance (UF Server) of all Policies andProcedures, including those generated from the Program, theInstitution and the Graduate Medical Education Committee(GMEC). Responsible for all data management functions in support ofthe University (e.g. Centricity, Physician Portal if applicable)and ACGME requirements. Maintains external regulatoryreports, data and rosters as applicable within establishedtimeframes (AMA FREIDA, ACGME Web Ads, GME Track,etc Arranges travel for residents and ensures timely submissionof expenses to the University. Assists with the coordination and documentation of allmeetings concerning the Residency Program.Assists with coordination and dissemination of residentrotation schedules and maintains responsibility for entry ofcall schedules into all required systems (i.e. EMR system,department files, etc) Support designated department faculty with a wide range ofmedical secretarial duties
Qualifications:
5 years - Administrative office support, in a medical office or medical related facility - requiredA combination of education and relevant work experience - required Knowledge of electronic medical records and database managements specifically related toanesthesiology e.g. Centricity for the dept. of Anesthesiology ONLY.) - required 5 years - Administrative office support, in a healthcare setting - requiredEducation Associates required Additional Duties Additional duties as assigned may vary.
