Administrative Assistant
The Administrative Support Assistant provides both direct and indirect patient and administrative support to the SFIHC Administration Office. This role assists across various departments, including the Administration Office, Finance Department, Front Desk, and as a Greeter.
Location: Primary duty station is the Santa Fe Indian Health Center in Santa Fe, New Mexico.
Work Schedule: Monday through Friday, 8:00 AM to 5:00 PM
Key ResponsibilitiesCorrespondence & Documentation: Receive, route, and track routine or controlled correspondence, reports, and memoranda. Prepare documents such as forms, reports, and outlines for correspondence using standard templates.
Scheduling & Coordination: Maintain appointment and meeting schedules for the Director and senior staff. Act as the point of contact for conference room scheduling, coordinate meetings, attend sessions to prepare minutes, and follow up on action items.
Data Management: Enter information into established databases to track various administrative activities.
Communication: Receive telephone calls and visitors, responding to general inquiries and procedural questions about the organization. Screen inquiries to clarify the nature of requests before referring to the appropriate staff.
Travel & Finance Support: Prepare travel requests for employees and provide guidance on completing travel vouchers. Perform timekeeping duties in the ITAS system for the health center.
Onboarding & Security: Coordinate orientation for new staff and contractors, tracking required training. Assist with security processes by taking fingerprints and ensuring investigation documents are completed and forwarded correctly.
Office Operations: Maintain filing systems and purchase supplies according to prescribed guidelines.
Required Qualifications & SkillsTyping Proficiency: Must be a qualified typist.
Technical Skills: Proficiency in office automation (typewriters and word processors) to produce final-form correspondence with correct spelling, grammar, and formatting.
Graduate: Contractor must have a High School Diploma or GED; proof will need to be provided prior to assignment.
$37 - $37 an hour
Compensation details: 37-37 Hourly Wage
