Law Firm Administrator

Job Description

Murphy, Hesse, Toomey & Lehane, LLP seeks a Law Firm Administrator to manage the day-to-day operations, finances, and legal assistant and administrative support for the firm. This position enforces policies and procedures related to office management and human resources matters. The Law Firm Administrator is part of the management team and actively participates in Firmwide collaborative projects and initiatives. The Law Firm Administrator relies on experience and judgment to plan and accomplish goals.
 
Essential Functions and Responsibilities:
Develop and maintain the Firm’s annual operating budget. Plan, forecast and analyze variances
Identify areas of potential cost reduction and efficiency improvement; maintain appropriate internal controls and procedures
Ensure compliance with broader organizational goals to achieve maximum utilization of resources and cost efficiency and to meet Firm objectives
Oversee outside vendor services
Liaise with building management on maintenance and lease requirements 
Manage employee relations issues, partnering with designated partners and administrative staff
Administer performance management process, including annual performance evaluations of staff; provide annual salary and bonus recommendations
Ensure compliance with federal, state and local employment laws, regulations, and ethical obligations. Ensure conformity with Firm policies and procedures
Conduct administrative orientations for new hires
Effectively manage emergency and other urgent situations, rationally and calmly solve problems, and lead others
Oversee office activities, including internal events and external events
Manage the workflow and performance of local office support staff (reception, legal assistants, marketing, billing, etc.), including providing ongoing formal and informal performance feedback
Required Qualifications:
Must have significant previous administration experience in all aspects of management.  5+ years' of law firm experience preferred. 
Excellent administrative and organizational skills with a proven ability to produce results and meet deadlines.
Ability to interact and communicate with all levels of professionals, management, clerical and administrative staff, demonstrating the ability to elicit cooperation, teamwork, and service in a fast-paced environment.
Fundamental knowledge and experience managing enterprises or operational departments such as marketing, finance, human resources, technology, facilities, etc.
Ability to identify issues, develop recommendations, and implement solutions.
Education:

A Bachelor’s degree or higher in management or law is preferred (e.g., Business Administration, Management, Finance, Technology, Marketing, Law, etc.)
