PRIMARY DUTIES AND RESPONSIBILITIES: Provide essential administrative support for the Donor Relations recognition and events teams. Responsibilities include, but are not limited to: Preparing for and scheduling meetings; handling meeting follow-up; and drafting internal communications; Collaborating with team members on specific projects such as named space gift proposals, recognition opportunities, recognition gifts procurement, campus tour trainings, and other projects as assigned; Assisting with logistics for a range of stewardship, recognition, and cultivation events, including recruiting volunteers, preparing event materials, attending events and assisting with staffing responsibilities, and managing the speaker database; Managing the digital asset database and named space inventory catalog; Reviewing and maintaining donor recognition walls and displays; Creating and maintaining information management systems including donor correspondence, named space changes, donor record reviews, donor recognition gifts, preferred donor recognition listings; Managing invitation lists including collecting and managing RSVPs, and sending timely RSVP updates to all applicable Philanthropy staff; Assisting with processes for Honor Roll, event communications, and other Philanthropy correspondence; Documenting and maintaining department processes, procedures, and forms; Preparing materials for strategic initiatives and projects; Providing back-up support for front desk as requested; Other duties as necessary. SUPERVISION: Reports to the Director, Recognition, and Director, Events, both on the Donor Relations team. MINIMUM JOB QUALIFICATIONS: Associate degree and/or administrative training degree required. As this level position is often considered a “base” for someone pursuing a career in Philanthropy, a Bachelor’s degree is preferred with 0-2 years administrative experience. KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED: This position is task-driven, so attention to detail, organization, and prioritization are critical Strong written and verbal communication skills Highly proficient with Microsoft Office 365 (Word, Excel, PowerPoint, Outlook, SharePoint, OneDrive, Teams); database management skills helpful Effective in working with a wide range of individuals, including highest level of DFCI constituents A self-starting attitude with the ability to work independently and as part of a customer service team in a fast-paced environment This position will evaluate current programs and create and execute approved plans to expand and diversify the donors and participants for the events assigned in order to broaden our donor base and create even more inclusive events.
