Job Description

Summary: **The Controller is responsible for managing the financial operations, ensuring accuracy in financial reporting, and maintaining compliance with various regulatory requirements. This role involves budget preparation and monitoring, financial statement analysis, audit management, and oversight of payroll and benefits programs. The Controller will work closely with department heads, the Finance Director, and Bookkeeper, and will oversee finance/accounting volunteers to ensure the financial health and compliance of the organization.

Responsibilities:

Budgeting and Financial Management (35%)

  • Prepare and monitor the annual budget, providing detailed budget information to department heads and working with functional leads to develop understanding.
  • Evaluate budget discrepancies and identify mitigation strategies to address any financial variances.
  • Prepare, evaluate, and provide context on monthly financial statements to the Finance Director and other stakeholders. Independently perform analysis to provide insights and recommendations to Finance Director.
  • Manage annual audit processes and ensure timely filing of IRS Form 990.

Accounting Operations (20%)

  • Manage account balances to support organizational cash flow needs. Provide data and information to inform development and management of financial strategies around liquidity
  • Prepare checks. Review bank and credit card reconciliations to ensure accuracy and completeness.
  • Ensure an adequate payroll system is in place, overseeing payroll processing and related activities.
  • Oversee benefits and PTO programs, including 401(k) plans, COBRA, and periodic renewals.

Compliance and Reporting (30%)

  • Maintain a compliance calendar of reports and renewals with oversight organizations (e.g., insurance, registrations, licenses).
  • Ensure compliance with grant requirements, New Markets Tax Credits (NMTC), human resources regulations, loan agreements, and organizational policies and fiscal controls.
  • Serve as the Anti-Money Laundering (AML) compliance officer, overseeing related policies and procedures.

Systems and Processes (15%)

  • Supervise finance/accounting volunteers, providing guidance and support as needed.
  • Collaborate with Bookkeeper; report to the Finance Director, ensuring alignment with organizational financial goals and objectives.
  • Ensure accounting software and systems are in place and meet the needs of the organization.
  • Analyze and update the chart of accounts to ensure accurate and efficient financial tracking.
  • Implement a Purchase Order (PO) system to enhance fiscal controls and procurement processes.

Qualifications:

  • Bachelor’s degree in Accounting, Finance, Business Administration, or a related field.
  • Three to six years proven experience in accounting and financial management, preferably within a non-profit organization.
  • Strong knowledge of non-profit accounting standards and compliance requirements.
  • Excellent analytical, organizational, and problem-solving skills.
  • Proficiency in accounting software and financial management tools.
  • Strong communication and interpersonal skills, with the ability to work collaboratively with various stakeholders.
